THE MATHEWS PRACTICE
PATIENT PARTICIPATION GROUP
“A representative group of patients who work cohesively and constructively with the practice with a view to improving patient and practice services for the benefit of the practice population”
TERMS OF REFERENCE
Following consultation with current members it has been decided the main aims of the PPG are to
- Provide a forum for patients to make positive/constructive suggestions about the practice, and to be an advocate for patient preferences when appropriate
- Provide feedback on patient’s needs, concerns and interests and question the practice constructively whenever necessary
- Assist the practice in development, communication and delivery of practice Public Health Initiatives
- Provide a forum for educating and informing the practice population on the realities of running a practice and how patient responsibilities can affect it.
- Foster improved communication between the Practice and its patients
- Increase awareness for patients to be more responsible for their own health, including ‘self-care’
- Provide practical support to both the practice and patients
- Communicate to the practice information about the community which may affect Primary Care
- Promote good health and higher levels of health literacy by encouraging and supporting activities within the practice and promoting preventative medicine
CONSTITUTION
PPG Meetings will be attended by:-
The practice Manager or a representative nominated by the Practice Manager if they are unavailable.
A Clinical lead of the practice (i.e. a Partner) or a representative nominated by a Partner if they are unavailable.
A minimum of 50% of the current PPG Members are required for the meeting to be Quorate
A move to ‘virtual meetings’ or an alternative PPG Solution will be made if the total number of active members falls below 2
Any member missing 3 consecutive meetings without giving a reason, will be asked to leave the group, unless there is a valid reason with is agreed by the members
The roles of Chair Person, Vice Chair Person and Secretary will be reviewed on an annual basis
The constitution, Terms of reference, and PPG Aims and ground rules will be reviewed as required but on an annual basis as a minimum
The PPG will liaise with other PPGs and city wide CCG/PPG engagement
The PPG will maintain a membership to N.A.P.P (National Association for Patient Participation) the fee for which will be met by the practice.
GROUND RULES
- This is not a forum for individual complaints and singular issues
- Open and honest communication – Challenges are encouraged in terms of healthy debate, but these must remain respectful and appropriate
- Be flexible, listen, ask for help and support other members.
- Silence indicates agreement
- All views are valid and will be heard
- Demonstrate commitment to delivering results as a group
- Start and Finish on time
- All electronic communication shall be BCC to maintain privacy of members contact details
- All new members must sign a PPG confidentiality agreement and agree to the ToR, constitution and ground rules prior to attending meetings. It will be the practices responsibility to provide an information pack to new members.
- Members can raise anonymised concerns directly to the practice manager via email for discussion if they are uncomfortable raising it directly in the meeting.
